At the same time, Village Hotels is taking advantage of hetras' versatile landscape in order to run applications such as CRS, GDS, online distribution, and mobile check-in with hetras' mobile app.The hetras technology behind the new level of self-service and convenience offers hotel groups a cutting-edge, cloud-based hotel management platform. hetras' technology package includes property management and central reservation systems, as well as distribution connectivity, and allows hotels to manage online all aspects of the mobile guest journey, from booking to billing. With the public API from hetras, Village Hotels has the freedom to select any partner they like, such as Kappture, UpsellGuru, Revinate, Workmatrix, and many more.Automated PMS Migrationhetras' Project Manager, Karl Schmidtner, says, "It was our first time to do an automated migration of such an extent for a hotel chain of this size."The hetras roll-out team had to manage a huge data migration, consisting of 40,000 reservations, including group reservations, with all related data. The overall amount of imported profiles is almost 3,000 per property. They include data such as company profiles, agency profiles, and guest profiles.Immediate Benefits: Mobile Guest JourneyAs hetras has a mobile app that uses mobile key services, Village Hotels is able to immediately implement a fully mobile guest journey. After the first property migrations, hetras worked with hotel employees in order to set up internal hotel trainings. As the software is very intuitive, there was soon no need for on-site support of the hetras roll-out team. But hetras is always there for questions and post-migration support. from maintenance to housekeeping, room management to timesheet planning -- can be managed from one easily accessible place. Staff can use the tool to flag problems, highlight specific requests, communicate with each other, and manage room status and availability to provide effortless, problem-free customer service.Furthermore, the tool, which is available through the hetras public API, seamlessly integrates into the hetras cloud-based hotel management software, ensuring easy implementation and transition for hoteliers.Crisis managementThe best kind of problem is one that never gets out of hand. Since RoomChecking allows potential issues, such as broken equipment, room availability conflicts and special requests, to be spotted in advance, management is better equipped to find solutions before a guest notices anything amiss.By using a unified platform, staff can report issues and order maintenance, update a room's status as soon as it is ready, check on the expiration dates of hotel assets (such as mini bar items), and respond to unexpected circumstances without wasting time by following a chain of command.Task delegation can be conducted with a few presses and swipes of a tablet screen, increasing staff productivity and efficiency while eliminating redundant work practices. PersonalizationAnticipating the personal preferences of every guest can be challenging. RoomChecking addresses this by allowing staff members to enter information into the system; they can quickly flag if a guest has made a special request (like additional towels or a cot bed), is planning to check in or out at an unusual time, or has reported an issue. Each staff member is instantaneously informed and better equipped to provide guests with the kind of individual service that they require.

The Student Hotel is an innovative venture and hybrid hotel concept that depends on a highly efficient hotel software platform supplied by hetras. The chain offers both long-term housing for students and accommodation for short-term city breaks. To date, the chain operates hotels in Amsterdam, Rotterdam, and The Hague, all of which use the same hotel software platform in the hetras Cloud. A new site in Groningen is set to open in summer 2016."We are really pleased about The Student Hotel's success with its highly innovative housing and hotel concept," comments Philip von Ditfurth, one of hetras' managing directors, "and we are delighted that our Internet-based platform is more than capable of meeting all of the technical requirements associated with managing this pioneering housing concept."A double act - student housing and hotelSince The Student Hotel is used to accommodate students during the semester and short-term travelers and hotel guests during semester breaks, its management software has to be capable of allowing available rooms to be allocated on a very flexible basis. The transition period between a semester's end and the start of a semester break and vice a versa is always extremely demanding for The Student Hotel. This is where hetras makes sure that everything goes smoothly. The software allows hotels to market student accommodation as hotel rooms on a flexible basis, with fully automated distribution on all channels and very low operational costs. In addition to a property management system for handling guest rooms and a front office management system, hetras' platform also includes a channel manager that centrally coordinates room prices and availabilities for all of the connected booking channels. An automated payment system, interfaces to the payment providers, and the key system are also part of the platform. The Student Hotel's predominantly young target audience is used to organizing travel details from mobile devices. Tech-savvy guests generally have high expectations of a hotel or long-term accommodation, which, for example, places heavy demands on the software's capacity to check guests in and out efficiently.Automating all hotel operations also makes room booking processes leaner, because it removes the need to manually process standard room bookings. Instead, the booking system directly enters information into the reservation system. From there, payments are automatically pre-authorized, reservations confirmed, payments invoiced and processed, and notices sent to the guests.Technology partner for pioneering projects The innovative concept of a hotel that uses efficient hotel management software to offer long- and short-term housing as well as hotel accommodation is rapidly gaining in popularity. The Student Hotel aims to have 10,000 rooms open by 2020. hetras is the technology that an ambitious and pioneering venture needs in order to succeed. Looking for hassle-free accommodation in Munich? A great choice is the new Hotel Buddy, where you can manage everything, including booking a room, checking in and out, and paying, from a mobile device. The brainchild of a Munich hotelier, Johannes Eckelmann, who already runs the well-known Cocoon Hotel brand, Hotel Buddy at Stachus Square is a new concept, low-budget hotel that is completely staffless. It's made possible largely thanks to the cloud-based hotel management platform from hetras."The benefits for guests are pretty obvious," explains Eckelmann. "That is, they are staying in a modern, brand-new hotel right in the heart of Munich, and at an unbeatable and affordable price."The seventy-five hotel rooms are located inside a large office complex and distributed over several floors. Guests can check in early, even days in advance, and they just need to sign their name on the pad at the kiosk upon arrival. This signature is then saved together with their reservation. Once signed in, guests collect their key card from a machine. This code-based key card will then automatically transport them by elevator to the correct floor. All of the technology behind these staffless systems - online booking, online payment, early check-in or kiosk-based check-in at the hotel, the interfaces to process guests' credit cards and create key cards, the automatic check-out technology, not to mention the system for managing car parking spaces - is provided by hetras and controlled with hetras hotel software."This technology is a perfect fit for the demands of young target groups that are used to organizing their travel on mobile devices and online," explains Tanja Baier, hetras sales manager. "Just as urban travelers today just check in online for flights, they would also much rather be able to check into hotels the same way - quickly, without any fuss and without having to stand in a queue."As Eckelmann further explains, "One of the many advantages of using a cloud-based platform is that there is no need to invest in any hardware. All data are automatically saved and always available to hotel staff, no matter where they are."This centralized access to data means that jobs like distribution and revenue management, which are keys to success, can also be centralized. For this reason, Eckelmann's two Cocoon Hotels at Stachus Square and Sendlinger Tor will now also be switched to the cloud-based hotel management software from hetras.About Buddy and Cocoon Hotels Buddy Hotel is a unique, mini-budget hotel concept created by a Munich hotelier, Johannes Eckelmann. Another Cocoon Hotel near Munich Central Station is set to open at the beginning of 2016. Both Cocoon Hotels currently have a very high capacity utilization rate of 90%.
